Sales reps spend 70% of their time on non-selling tasks, according to the 2024 State of Sales survey that Salesforce ran with 5,500 sales professionals. That figure is why AI sales tools now cover everything from finding prospects to writing up calls.
The same survey found that 81% of sales teams are experimenting with or have fully implemented AI, yet a survey reported by DestinationCRM found that only 38% of respondents had enabled AI features inside their CRM. Adding more AI sales tools leaves that gap open unless each one has a clear job.
Below you will find eight AI sales tools grouped by the job they do (prospecting, outreach, calls and meetings, and the CRM), with prices read from each vendor's page on October 19, 2026. We publish SalesSheet, which appears in the CRM group, and we flag where it fits and where it does not.
Table of contents
AI sales tools are software that uses AI to take over a specific selling task, such as finding prospects, writing outreach, recording and summarizing calls or updating the CRM, so a rep spends less time on admin and more time with buyers.
Four jobs account for most of what these tools do: prospecting and data (who to contact), outreach (what to send), calls and meetings (what was said) and the CRM (where everything lives). Each tool below is placed under the job it does best.
AI adoption is nearly universal while use of AI inside the CRM stays low, so the useful question when you buy is which job the tool will take off a rep's plate.
Four checks keep a stack from turning into a pile of subscriptions that each do a little of the same thing.
Credit-based pricing needs the most care. Apollo pools credits across the team, Clay sells actions and data credits, and HubSpot charges $0.010 for each extra credit, so the plan price is only the starting point of the bill.
We could not test the other vendors' products ourselves, so every price and feature below comes from the vendor's own pricing page, read on October 19, 2026. Where a page did not show a price, we leave it out.
Each tool sits under the job it does best, and the order within a group carries no ranking.
Apollo.io combines a contact database with email sequencing, so a rep can find a prospect and start outreach from the same place. Its AI features and call recording sit on the Professional plan, according to its pricing page.
The Apollo pricing page (October 19, 2026) lists four plans: Free, Basic, Professional and Custom. Usage runs on pooled credits that cover emails, phone numbers, email warmup, domains and AI-researched data, and the credits reset every billing cycle without rollover.
Apollo fits sellers who want data and sequences in one tool and are willing to watch the credit counter. Clay, described next, is built for combining several data providers on a single lead.
Clay pulls contact and company data from several providers in sequence, a method it calls waterfalls, and adds an AI research agent named Claygent that gathers details from the web for each row of a table.
The Clay pricing page (October 19, 2026) lists Free at $0 (500 actions and 100 data credits a month), Launch at $167 a month on annual billing, Growth at $446 a month annually ($495 monthly) and custom Enterprise pricing. Phone number enrichment starts on Launch.
$167
a month for Clay Launch on annual billing, the first plan with phone number enrichment. Clay pricing page, October 2026
Clay fits teams with an operations-minded person who will build tables and workflows. Reps who only want to find a contact and send a message will reach that faster in Apollo.
Instantly is built for cold email at scale: unlimited email accounts and warmup are listed on its outreach plans, and its bundles add a lead database and AI agents for outreach and replies.
On its pricing page (October 19, 2026), the Growth outreach plan costs $47 a month, or $37.60 a month billed annually, for 5,000 emails and 1,000 contacts. The Starter bundle costs $94 monthly or $85 billed annually and adds the lead database, 1,500 credits and the AI Sales Agent.
Instantly fits teams whose pipeline depends on outbound email volume. A team that sells through WhatsApp or inbound conversations gets less from it.
Gong analyzes recorded sales conversations to support coaching and forecasting, and it is the entry in this list aimed most clearly at managers.
Gong does not publish prices. Its pricing page (October 19, 2026) says licenses are priced per user, that a platform fee scales with the number of users and that you request a proposal through a form. It describes integrations with your existing stack as free.
Gong fits teams where managers coach from call recordings and can justify the cost at scale. A team of three reps should get a quote before assuming it fits, and can price a lighter tool such as Fireflies.ai in the meantime.
Fireflies.ai joins meetings as a notetaker bot and produces transcripts and AI summaries, with an assistant called AskFred and a Chrome extension.
Its pricing page (October 19, 2026) lists Free, Pro, Business and Enterprise plans charged per seat, with volume discounts through sales above 50 members. CRM and app integrations sit on the premium tiers.
Fireflies fits teams that want call notes without paying for a full revenue-intelligence platform. The notes still need a CRM to land in, which is the next job.
HubSpot puts AI into a CRM that also covers marketing and service. Its Customer Agent, Prospecting Agent and Data Agent run on HubSpot Credits.
On its Sales Hub pricing page (October 19, 2026), HubSpot lists a Free plan for up to 2 users, Starter at $7 or $20 per seat per month depending on billing, Professional at $90 or $100 and Enterprise at $150, with onboarding fees of $1,500 and $3,500 on the top two. Paid plans include 500, 3,000 and 5,000 credits a month, and extra credits cost $0.010 each.
HubSpot fits teams that also run marketing from the same database. For a ranking of the CRMs themselves, see our best AI CRM comparison.
SalesSheet is the CRM we publish, and it appears here because it puts AI employees, WhatsApp and a dialer in one workspace where reps and AI employees share the same inbox, pipeline and customer history.
A browser dialer records and transcribes calls, as described on the calling page, and an AI copilot takes requests in plain language. That covers the calls and CRM jobs without a separate notetaker.
SalesSheet prices per workspace, not per seat, with unlimited users on every plan (SalesSheet pricing page, October 19, 2026). Starter costs $59 a month billed annually ($71 monthly) with 1 AI employee, 250 conversations and 10,000 contacts, Pro costs $149 ($179 monthly) with 3 AI employees and 100,000 contacts, and Ultra costs $399 ($479 monthly) with 10 AI employees. Every plan has a free trial.
SalesSheet fits teams that sell over WhatsApp and want AI agents answering next to their reps. Teams whose selling runs on email alone, or that need marketing tools on HubSpot's scale, will get more from other entries.
Salesforce offers AI through Agentforce. Its Sales pricing page (October 19, 2026) lists Starter Suite at $25 per user per month, Pro Suite at $100, Core at $195, Advanced at $395 and Max at $550.
AI can be added from the Core edition upward, and Agentforce for Sales is listed as a separate add-on starting at $125 per user per month.
Salesforce fits large organizations with administrators to run it. For a small team the $25 entry edition is the starting point, and the agent AI begins two editions higher.
Adding the tools up shows why overlap matters. Take a five-person team that prospects with Clay, sends with Instantly and keeps everything in SalesSheet, using the plan prices above on annual billing:
The three come to $263.60 a month, or about $52.72 per rep. The same five reps on HubSpot Professional alone cost $450 to $500 a month in seats, plus a one-time $1,500 onboarding fee, before any prospecting or outreach tool.
Those totals leave out credits and add-ons, so a team with heavy usage should price them too: HubSpot sells extra credits at $0.010 each, and Salesforce sells Agentforce for Sales from $125 per user per month.
The table keeps only what changes a purchase: the job each tool does, what the first paid step costs and how the price is built.
| Tool | Job | Entry price as listed | How the price works |
|---|---|---|---|
| Apollo.io | Prospecting and data | Free plan; paid prices on its page | Plans plus pooled credits |
| Clay | Prospecting and data | $0 Free; $167 Launch (annual) | Plan price plus actions and data credits |
| Instantly | Outreach | $37.60 Growth outreach (annual); $85 Starter bundle (annual) | Flat plans by emails and contacts |
| Gong | Calls and forecasting | Custom quote | Per-user license plus platform fee |
| Fireflies.ai | Meeting notes | Free plan; paid prices on its page | Per seat |
| HubSpot | CRM | $0 Free (2 users); $7 to $20 Starter | Per seat plus credits; onboarding fees on top tiers |
| SalesSheet | CRM | $59 Starter (annual), unlimited users | Per workspace |
| Salesforce | CRM | $25 Starter Suite; AI add-on from $125 | Per user by edition plus add-on |

Three pricing models appear in the table: per seat (HubSpot, Salesforce, Fireflies.ai), flat per workspace (SalesSheet, Clay, Instantly) and quote-based (Gong). Flat and per-workspace plans stay stable as headcount grows, while per-seat plans scale with every hire.
Buy in the order the job costs your reps time, and let each new tool earn its place.
In our view, most teams under ten reps are better served by a CRM with AI built in plus one data tool for the first quarter, and every extra tool should justify its own job before it joins the stack.
Run each shortlisted tool against 20 of your own open deals for two weeks, since how a tool handles your real contacts says more than any feature list.
Free entry points make this cheap: Clay has a Free plan at $0, HubSpot is free for up to 2 users, Apollo.io and Fireflies.ai list Free plans, and SalesSheet offers a free trial.
Track three numbers during the test: the hours saved per rep per week on research and notes, the share of calls with a summary in the CRM, and how many AI features each rep uses in a normal week. The last number is the one the 38% and 17% figures above warn about.
See how AI employees, WhatsApp and a built-in dialer work in one workspace.
Start Free TrialThe best choice depends on the job: Apollo.io and Clay for prospecting and data, Instantly for cold email, Gong and Fireflies.ai for calls, and HubSpot, SalesSheet or Salesforce for AI inside the CRM. Most small teams should start with the CRM and add one data tool.
List prices on October 19, 2026 run from free plans at Clay and HubSpot to $37.60 a month for Instantly Growth (annual), $59 a month per workspace for SalesSheet Starter, $167 a month for Clay Launch and $125 per user for the Agentforce for Sales add-on. Gong prices by quote.
Often not for the first jobs. If your CRM already drafts emails, summarizes calls or enriches contacts, price those against a standalone tool and add a separate one only for a job the CRM does not cover.
Yes. Clay has a Free plan at $0 with 500 actions and 100 data credits a month, HubSpot is free for up to 2 users, and Apollo.io and Fireflies.ai list Free plans. Free tiers limit credits, users or features, so check the caps.
